Senior Administrator (Administrative Assistant) Location Miami, FL (Coral Way area) :

Salary Range: $42,000-$45,000 annually Benefits (The Good Stuff)

United Way Miami is hiring a Senior Administrator to join our team. As a Senior Administrator, you will manage all administrative support to the Vice President and additional team members in meeting the needs of United Way's customers.

Principle Duties & Responsibilities:

  • Provide all professional relationships follow-up that may include but is not limited to composing/drafting letters; setting up appointments; scheduling meetings; and conducting research as needed regarding current and prospective accounts and individuals for the CFE.
  • Provide administrative support to the Vice President and other staff that includes but is not limited to data entry; internal and external correspondence; report generation and queries; coordinating all logistics for receptions, luncheons, meetings, etc.
  • Serve as lead staff for all Center events
  • Responsible for the maintenance of accurate information of all CFE volunteers, donors, and customers in ANDAR and salesforce.
  • Support all aspects of the CFE Committee that may include but are not limited to composing/drafting invitations; keeping RSVPs; drafting meeting agendas; meeting information packets; setting up conference phone; scheduling laptops to be available for the meeting; setting up the room prior to the meeting; attend and assist with technology during meetings; etc
  • Provide support to the Education I, Program Officer on all aspects of program investment information processing, from communication with grant recipients to compilation and organization of application and reporting materials, including agency and program contracts.
  • Provide telephone support for the division that includes but is not limited to: answering calls; recording and delivering accurate messages; referring complaints and requests for information to appropriate staff and following up as needed.
  • Liaison between the CFE and UW Campus Manager/Operations Department on any CFE building maintenance issues.
  • Responsible for scheduling all meetings/training (internal and external) utilizing the Meeting Room Manager and providing support to trainers, guests, and staff on all room setup needs.
  • Coordinate all CFE traveling arrangements, such as airfare, lodging, transportation, etc.
  • Responsible for submitting the CFE Corporate American Express expense report in a timely manner.
  • Responsible for invoicing Educare traveling costs in a timely manner.
  • Liaison between United Way and any CFE volunteer-related projects.
  • Assist other administrators as needed. Provide CFE reception lunch coverage on a rotating basis.

Education Requirements: Associate's degree or equivalent experience.

Experience Requirements: Two to three years experience in an office/administrative environment in support of the senior-level position.

Technology Requirements: Advanced Word, Excel, PowerPoint, Outlook, and Andar. Beginning Internet Explorer.

Other Essential Knowledge/Skills: Ability to multi-task and meet stringent deadlines; attention to detail; strong oral and written communication skills; excellent customer service abilities. Bilingual English/Spanish.
